There are two options for printing from most screens: you can print a screenshot of the screen showing the screen exactly as it appears to you, or you can print a report showing a formatted layout of the information in the record. You can also print (export) report data to a file such as Excel or PDF.
From any report screen you have the following print options:
Print Click Print to print a report to the default printer.
Preview Click preview to view the report on the screen. From the Preview screen you can click the printer icon to send a print job to the printer. The Preview screen is interactive and can provide drill-down capabilities in certain reports. Also, almost all reports have interactive sorting when in preview mode. Note that after previewing a report, if you click the button to change the preview screen to Print Layout mode, all interactive features will be disabled. You have to switch back out of Print Layout mode to restore the interactive features.
Setup Use the print setup to select or define a printer to use.
Any report can be printed to a file instead of the printer. For example, you can print a general ledger report to a .xls file so you can use the data in Excel. Another example would be to print a report to a Text file that you could import into a word processing program; or you could print a file to HTML so it can be displayed on a web page.
To Export report data:
Select the report from the Reports menu, and enter the desired parameters.
Click Preview.
From the Preview screen, select Export. This will open a drop-down menu of options for file types to export to. Select the file type you wish to export to.
Specify the destination and file name in the Save As dialog box that appears.
At times it may be necessary to print a screen exactly as it appears. For example, to communicate with Technical Service in troubleshooting. The Print Active Form feature allows you to essentially take a screenshot of the screen.
To print a screen, go to Utilities, and select Print Active Form.
A print job will be sent to your default printer.
