In both the Order Counts and Valuation Counts screens, it is possible for two different users to edit data at once. In the case that both modify different data, both sets of data will be saved. In the case that both edit the same data, that last to save will overwrite the earlier person's entries. The example below illustrates this:
Example:
If Manager A has the count screen open and is entering Bar Counts and Manager B has the count screen open on a different computer and is entering Cooler Counts, this is not necessarily a problem as long as the two parties are aware of the consequences of their respective entries.
Example:
At 1:00 PM, Manager A saves her counts which were all in the Bar location.
Manager B is still working on his counts at the same time and an hour later (2:00 pm) he saves his counts. His work will save and the valuation count table will only be updated with his changes — if he did not enter anything in the Bar location, the save will not alter Manager A’s inventory. Manager A’s counts would be overwritten if Manager B went through and zeroed out all the inventory or overwrote (made changes to the Bar location) what Manager A had done and then saved.
One caveat: if a manager has a count screen open and somebody else edits an inventory item location or deletes an inventory item for that restaurant that is on the active count, then when the manager goes to save, they will get the following error:
The following error occurred while trying to retrieve your data:
Another user has changed this record since you pulled it up. You will not be able to save your Changes.
For this reason it is never a good idea to make major changes to inventory items on inventory days.
